Advertising Terms & Conditions
Terms for advertising in Village Eye and EyeMagazines. If anything is unclear, please call us on 0118 933 3311.
Village Eye and eyeMagazines are brand names of Pinktomato Ltd. Invoices and bank account information will show Pinktomato Ltd rather than Village Eye.
Advert placement
The minimum placement is for three adverts. If you wish to place only one advert then this is possible however will incur a premium which we will advise. Your adverts however do not have to be the same size. For example it is possible to order 1 quarter, a half, or full page or a combination as long as three are ordered within a 6 month period of your first placement.
Charities are not charged VAT however you must have a registered charity number and provide this at order time.
Payment and invoicing
We require payment for your first advert before artwork design is started or placed in the publication. Additionally, we require a direct debit mandate or card mandate setup for future advert placement.
We invoice in the first week of the month in advance of the magazine publication; this is an automated process. We do not hold and cannot see your bank or card information. If you change your card information or bank details after starting your adverts then you will need to re-authorise the payment on future invoices.
Payment occurs on invoice due date. The invoice would be around the 1st of the month (or later if this falls on a weekend). You should receive an email from our card system or direct debit system to advise you that payment will occur. You are covered by the Direct Debit Guarantee.
We accept card payments and direct debit. If you wish to pay by bank transfer then we will authorise this subject to a completed credit account form. Please contact our office to arrange. Our systems are not set up to accept cash and we do not accept cheques.
Bookings and acceptance
You will receive a booking confirmation via email at time of order. For new customers this will also initiate an invoice for your first advert.
By making payment or setting up a card authorisation or direct debit mandate for this first invoice then you are acknowledging you have read and agree to our terms and conditions of business and are confirming the booking you have received from us.
All our prices are plus VAT unless you are a registered charity.
Cancellation
If you wish to cancel then we require 30 days notice before the 1st of the month in advance of the following month publication. The reason for this is we design and print the magazine one month in advance so that it can be distributed at the end of each month.
So for example if the current date was the 2nd of January then it would be too late to cancel the February issue as this will be designed and set for print already and you will already have been invoiced.
If you cancel giving us enough time then we will not invoice and your advert will not be printed. However if you have received a discounted rate then we will charge the balance between your discounted rate and the amount that should have been charged without discount as you have not fulfilled the required placements to obtain that discount.
Non-payment and late-payment charges
We are transparent with our charges and process. Non payment will result in an automated charge for unpaid invoices as per UK legislation of late payment of commercial debt. Our system is automated and will charge you on day 31 for any outstanding invoice. Government guidance on late commercial payments.
You will be charged as follows (plus VAT):
£35 for any invoice not paid within 30 days; this is automated.
£25 for any invoice where your card authorisation or direct debit fails on invoice due date regardless if the invoice is over 30 days. It is the customer's responsibility to ensure that the card information provided is valid and there are sufficient funds to clear a card payment or direct debit mandate.
If after 60 days an invoice remains overdue we will commence our collection process, which will result in additional charges as follows: an admin charge of £55 (no VAT), an additional charge based on the following table, and interest at 8%.
| Claim amount | Fees |
|---|---|
| Up to £300 | £35 |
| £300.01 to £500 | £50 |
| £500.01 to £1,000 | £70 |
| £1,000.01 to £1,500 | £80 |
| £1,500.01 to £3,000 | £115 |
| £3,000.01 to £5,000 | £205 |
| £5,000.01 to £10,000 | £455 |
Card and bank information
No card information is stored on our systems. Our billing systems are not connected to our design systems. We use Stripe.com and uCollect for future invoice payments by card.
We also use GoCardless for direct debit charging. Again we have no access to your bank details. This information would be entered by you as the customer.
Stripe's infrastructure for storing, decrypting, and transmitting card numbers runs in separate hosting infrastructure and doesn't share any credentials with Stripe's primary services (APIs, website, etc.). For more information, you can visit Stripe's security policy.
In other words, your credit card details are secured by Stripe. If you have changed your card or wish to use another then please select the PAY NOW option on any invoice or statement with the new card or bank information.
When you make payment on your first invoice using a card it may request two-step authentication using a mobile banking application on your phone. This may show a value of zero or the amount of the invoice depending on the invoice due date and is an authorisation transaction only. This is normal.
Please remember that transactions may show as Pinktomato Ltd and additional items such as VillageEye or EYEINV may appear on your statements. It really depends on the bank or card company in question.
Artwork design, supply and approval
If you do not have professional artwork ready to go, we can offer to design your advert for use within our publications (excluding the purchase of stock photography and fonts if required). In order to start creating your advert your first invoice must be paid in advance.
We will need to spend a short time with you either in person, via email or over the telephone to establish what you'd like to achieve with your advertising, any preferences you may have, and to gain an understanding of your full expectations. We normally ask you to provide a high quality version of your company logo if available, a link to your current website or Facebook page and for you to send over any images you'd like us to consider using.
If when approved, you would like us to release this artwork for publication for use elsewhere, we charge a flat rate of £95 + VAT for this service.
If you are providing the artwork to us then it must meet legal advertising standards and our print design specifications (see media guide). We always reserve the right to refuse adverts supplied.
Checking your artwork: Please check your artwork. We will send it to you via email, our system or WhatsApp / Facebook. If we do not hear back from you before our print deadline has passed then the artwork will be deemed approved. It is the customer's responsibility to check artwork for accuracy.
Privacy and use of your data
At Village Eye, we take privacy very seriously. We have updated our privacy policy to ensure that we communicate to you in the clearest way possible and inform you of how we treat your information.
Our systems only hold information about you in relation to doing business with Pinktomato Ltd and Village Eye magazine(s). We may use that information in order to do business with you and we may also use that information to contact you to advise of future offerings and publications.
If you receive marketing email from us then you have the option to opt out. However if you receive transactional email from us (i.e. booking confirmations, invoices and statements) then you cannot opt out of these as they are transactions related to doing business. We do not and will never make your data available to third parties unless this is part of a competition entry with a third party.
